A parish or community register is usually a single irreplaceable copy, in daily-handled condition, held by an organisation with no digitisation budget. The workable answer is a repeatable volunteer workflow: capture each opening safely without pressing the spine flat, correct the curvature and lighting problems that come with photographing a bound book, then restore faded entries so the pages can actually be indexed and searched.

Tight bindings and gutter loss

A tightly bound volume will not open flat, so text curves down into the gutter and is lost to shadow. Forcing it flat cracks the spine - which is unacceptable on a volume that cannot be replaced.

Uneven lighting on curved pages

A curved page catches light unevenly: bright at the outer edge, dark toward the spine. Automatic exposure then optimises for the bright part and buries the entries near the gutter.

Heavy handling wear

Working registers accumulate finger soiling along the outer margin, candle wax, corrections, and pages loosened at the hinge - often across two centuries of use.

Consistency across thousands of pages

The output of a digitisation project is only useful if every page is captured and processed the same way. Volunteers rotating through the work makes consistency the main risk to the project.

The working process

    Never force a binding flat

    Support the volume in a V-shaped cradle - two foam wedges will do - so it opens at whatever angle it opens at naturally. Weighted snake cords hold the pages without pressure. A book that opens at 90 degrees should be captured at 90 degrees.

    If a volume is so fragile that opening it sheds material, stop and get a conservation assessment before continuing. A damaged register is worse than an undigitised one.

    Set up a fixed, repeatable capture rig

    Camera on a copy stand or tripod, parallel to the page, with two diffused lights at roughly 45 degrees from each side to cancel shadows. Lock focus, aperture, white balance, and exposure, and do not change them for the length of the volume.

    Include a colour and scale reference

    Photograph a colour target and ruler in the first frame of each session. It costs nothing, and it is what lets anyone later verify tone and size - including you, when a session six months from now looks slightly different.

    Correct curvature and lighting first

    Flatten the page geometry and even out the gutter-to-edge gradient before any content restoration. Correcting geometry afterwards re-warps content the model has already rebuilt.

    Restore entries, then batch the whole volume

    Establish the settings on a representative sample of pages - a good one, a faded one, a stained one - then apply the same treatment across the volume. Uniform processing is what makes the result indexable.

    Publish with an index and keep the masters

    Keep lossless masters and the raw captures in at least two locations, and produce compressed derivatives for online access. An index of names and dates is what turns a pile of page images into a record people can actually use.

Where the limits are

Stated plainly, because knowing this before you start is worth more than an optimistic sales page.

  • Digitisation preserves the content, not the object. The physical volume still needs appropriate storage, and it remains the record of record.
  • Text lost into a tight gutter was never captured, so it cannot be restored. Recapturing the opening is the only fix.
  • Registers frequently contain personal data about living people. Check your jurisdiction's data protection rules and your own governing body's policy before publishing anything.
  • Restored images support indexing but do not replace verification against the original volume for official extracts.

Consistency is a process problem rather than a skill problem, and rotating volunteers is exactly why it needs to be built into the setup.
